About the role

Medical Panels has a critical role in the WorkCover dispute resolution process. An individually constituted Medical Panel supports the fair and timely resolution of medical disputes.  A panel of doctors are appointed by the Convenor from the list of 250 specialist medical practitioners.  The panel provide final and binding opinions and reasons in relation to medical questions referred under the Victorian Workers’ Compensation legislation and the Wrongs Act 1958.

Referrals can be made by the Accident Compensation Conciliation Service, the Courts, WorkCover agents, and self-insurers.

The office of the Convenor consists of the Convenor, three Deputy Convenors, and employees provided by WorkSafe Victoria to support the operations of the organisation.

Reporting to the Director, Medical Panels, the Stakeholder Support Officer is responsible for providing high level, confidential, executive support services to the Director, the Convenor, the Deputy Convenors and the Management team. This role will also be responsible for: 

  • Engaging with key internal and external stakeholders to provide prompt delivery of accurate information and services
  • The production of high quality correspondence, presentations and reports on behalf of the Convenor and Director for internal and external presentation
  • Time management of the Director and Convenors daily schedule including phone, email, meetings and travel arrangements
  • The provision of secretariat support to Leadership meetings including coordination of papers, minute taking and action items

About you

You will have substantial administration experience providing high level support and coordination at a Director and/or Senior Leadership team level.  You take pride in your ability to work within a dynamic environment and can prioritise and organise yourself and those around you.  You are a team player who is not afraid to ask questions and take initiative when required. Additionally you will possess:

  • Highly developed communication and personal skills with the ability to build strong relationships across all levels of the organisation
  • Proven level of initiative along with excellent prioritisation and organisational skills
  • Extensive experience with diary management, system administration and responding to correspondence
  • Proven ability to work with limited supervision in a fast paced environment
  • Demonstrated experience in the preparation of agendas, minutes, reports and presentations
  • Intermediate/advanced skills in all Microsoft Office products (Word, Excel, Outlook, MS Teams & PowerPoint)
